Three systems that were never designed to talk

Registration lives in one platform, badge production in another, lead retrieval in a third. Each has its own identifiers. The mapping between them is agreed on a call and maintained by a person.

A sync that runs on somebody pasting

When there is no API between the on-site system and the lead-retrieval database, the fallback is exported files or notification emails that a human copies into a spreadsheet while the doors are open.

Identifiers assigned by hand

On-site registrations need identifiers that do not collide with the pre-registration list. That is a database key negotiation, conducted over video, weeks before the show.

A cutoff that creates a gap by design

Cut the list Sunday to print Tuesday for a Thursday open, and everyone who registers in between lands in a manual workaround with its own failure modes.

Cost pushing you toward the worse workflow

On-demand badge printing solves most of this and is expensive. So the practical answer becomes pre-printed stock, applied labels, and a printer that has to cooperate on show morning.
